Important Info for the 2025 VKMF Concert Band & Orchestra Festival

Dear Directors,
We would like to thank you for choosing the 2025 Vancouver Kiwanis Concert Band and Orchestra Festival! We are incredibly grateful for your continued support and participation. Our team is committed to providing a meaningful and enriching experience for your ensembles.
Checklist
To ensure the festival runs smoothly, enclosed in this package you will find:
Festival Schedule
Program Information Sheet (to be completed)
Group Profile Form (to be completed)
Announcing Template Form (for introducing your ensemble)
What to Bring
On the day of the festival, directors are required to provide, in a 10 x 13 envelope, the following:
Scores – Two sets of original scores
Profile Form – Three copies
Program Information – Three copies
Seating Chart – Three copies (please include detailed numbers of stands and chairs needed)
Please clearly label the front of the envelope with your school name and performing group name.
Festival Location
📍 Massey Theatre – 735 8th Ave, New Westminster, BC V3M 2R2
Bus Drop-Off & Parking
🚍 Busses must drop off students and leave the premises. They may return for pickup at designated times. There are three drop-off/pick-up points. Please refer to the attached map for details.
🚗 Free parking is available in front and behind Massey Theatre for personal vehicles.
Food & Lunch Areas
The theatre concession stand will be open.
If you are bringing multiple groups and plan to eat lunch on-site, we encourage you to bring your own lunch.
Please notify Sara in advance if your group plans to eat at the theatre so we can arrange an area for you.
Performance Schedule & Arrival
Arrive no earlier than 10 minutes before your scheduled warm-up time.
Upon arrival, proceed to the second floor and check in at the Registration Table.
A host will be assigned to guide your group to the warm-up room, performance hall, and clinic.
Please note: The warm-up room may not be locked during your performance.
Audience Information
🎶 Performances are open to the public! Please invite friends and family to attend.
🎶 You are welcome to arrive early or stay later to support and listen to other groups in the Performance Hall.
Ratings & Adjudication
Each ensemble will receive a participation certificate with a Gold, Silver, or Bronze rating.
If you do not wish to receive a rating, please indicate this clearly on your paperwork.
No specific numerical scores will be provided—only Gold, Silver, or Bronze ratings.
Accessibility
♿ If any members of your group require specific accessibility accommodations, please contact Sara in advance.
Washrooms
🚻 There will be a multi-stall restroom designated for teachers.
🚻 A single-stall accessible restroom will also be available for teachers and accessibility needs.
Announcing Your Performance
Please designate a student announcer to introduce your ensemble and director.
A guideline for announcements is included in this package.
Adjudicators
Information on our adjudicators is available on the VKMF website (https://www.vkmfestivals.org/large-ensemble-adjudicators).
Our adjudicators are excited to hear your ensembles and provide feedback!
At the conclusion of the festival, they will recommend ensembles for MusicFest invitations.
Scores & Copyright Guidelines
📜 NO PHOTOCOPIES PERMITTED.
✅ Public domain scores are permitted only if the URL and source are clearly provided on each page. These must be submitted in advance for approval.
✅ If a piece is out of print or difficult to obtain, directors must provide written permission from the publisher for any copies used.
✅ The festival will accept purchased digital sheet music if proof of purchase or permission to copy is provided.
