Dear Directors,
We are thrilled to welcome you and your ensembles to the 2025 Vancouver Kiwanis Choral Festival! We are so grateful for your continued participation and support. Our goal is to provide a festival experience that is educational, inspiring, and smooth from start to finish—for both you and your students.

To help everything run as smoothly as possible, enclosed in this package you will find:

Group Profile Form – please complete and bring
Announcing Template – for your students to use on stage
📦 What to Bring (In a 10x13 Envelope, Clearly Labeled with Group Name & School):
2 original sets of scores
3 copies of the Profile Form
3 copies of the Program Information Sheet
Please do not submit photocopies unless permitted (see “Scores & Copyright” section below).
📍 Festival Location
Massey Theatre
735 8th Ave, New Westminster, BC V3M 2R2
🍽️ Food & Lunch
The concession stand at Massey Theatre will be open. If your group plans to stay over lunch, we encourage you to bring your own meals. Please let Sara know in advance if you have a large group and are planning to eat onsite so that we can arrange a designated area for you.
🕒 Arrival & Schedule
Please arrive no earlier than 15 minutes prior to your warm-up time.
Upon arrival, proceed to the Registration Table (first floor) to check in.
A festival host will accompany your group to:

Performance venue
Adjudication clinic space
Please note: Warm-up rooms will not be locked during your performance time.

Please assign a student to introduce your ensemble on stage. A helpful template is included in this package.
👩🏫 Adjudicators
This year’s adjudication panel features:

Carrie Tennant
They are excited to work with your students and hear your performances! At the end of the festival, the adjudicators will collaborate to determine MusicFest Canada invitations.
🧠 Sight-Singing Workshop Component
We’re delighted to include complimentary 10-15 minute sight-singing workshops in most of this year’s pods, led by Jonathan Krueger with his North Surrey Chamber Choir. These brief clinics are designed to support your music literacy goals. (Please note: Workshops are available Wednesday and Thursday only, not on Friday.)
🎼 Scores & Copyright Information
NO PHOTOCOPIES PERMITTED unless specifically approved.
Public domain scores may be accepted if the source URL is clearly printed on each page and submitted in advance for approval.
If using out-of-print music, you must include written permission from the publisher.
Downloaded music must include proof of purchase or permission to copy from a credible music source.
🅿️ Parking & Bus Drop-Off
New this year: School buses may NOT remain parked onsite.
Buses must drop off and return later to pick up students.
There are three designated drop-off/pick-up locations. A map will be sent out next week, and volunteers will be on-site to help direct traffic.
🚻 Washrooms & Accessibility
A multi-stall washroom will be designated for teachers.
A single-stall, accessible washroom will also be available.
