Volunteer Engagement Coordinator

Vancouver Kiwanis Music Festivals Society (VKMFS)

Entering its 94th year, the Vancouver Kiwanis Music Festival is the premier music festival in British Columbia, offering professional adjudication to over 7500 students in high school jazz and concert bands, orchestras and choirs, and in the private study of classical voice, music theatre, piano, strings, brass, woodwinds, chamber music, classical guitar, harp and Chinese ethnic instruments.

Position Type: Contract, part-time with opportunity to renew

Term: November 2016 - June 2017

Location: Virtual and on-site

Reports to: Main Festival Administrator

Compensation: $20/hr for pre-festival work and $200/day on-site in April

The purpose of the Volunteer Engagement Coordinator (VEC) is to attract, recruit and retain approximately 150 volunteers and engage them in contributing to the Vancouver Kiwanis Music Festival Society’s (VKMFS) mission to inspire musical excellence.  The VEC will train and schedule volunteers and provide guidance on-site during each of the 4 festivals. Working hours will vary from minimal hours in November with hours increasing closer to Festivals.  The VEC is expected to be on-site full-time during the Main Festival in April.

Key Responsibilities

  • Promote volunteer opportunities to the community
  • Identify, establish and maintain relationships with community-based organizations
  • Recruit, train and schedule volunteers for approximately 425 shifts
  • Prepare and conduct training orientations to prepare volunteers
  • Maintain an ongoing and positive relationship with volunteers and provide consistent support
  • Update volunteer job descriptions to accurately identify each position’s requirements
  • Stock and replenish performance venues with adequate supplies
  • Assist with preparation for the Gala Concerts and other events
  • Provide volunteer recognition: ongoing and at the annual Volunteer Appreciation Event
  • Prepare volunteers by establishing and conducting training orientations
  • Support Main and Group Festival Administrators with additional volunteer related tasks that may arise

Qualifications

  • Minimum 2 years of experience in volunteer recruitment and coordination
  • Demonstrate ability to establish and maintain effective relationships
  • Confident working with a diverse range of social groups and communities
  • Strong written and verbal communication skills
  • Capacity to lead and motivate volunteers
  • Exemplary time management skills
  • Proficient with computers and complex online systems
  • Ability to multitask and take initiative
  • Experience in a Festival setting an asset
  • Interest in the arts sector
  • Must be able to lift 20 pounds and stand for an extended amount of time
  • Have own vehicle, cell phone and laptop

Administrative Assistant

Compensation: $18/hr, up to 277 hours

The purpose of the Administrative Assistant is to assist in the delivery of the Solo and Small Ensemble Festival.  Working hours will vary from minimal hours in November with increased hours closer to April.  The Administrative Assistant will work from home and on-site in April and other events.

Key Responsibilities

  • Communicate and respond to inquiries from competitors, parents and teachers by e-mail and phone
  • Manage mass communications online and by post
  • Edit and maintain an accurate database of entries containing repertoire, composers and classes
  • Maintain and update the online registration system with current syllabi
  • Edit and proof materials to be published
  • Maintain up-to-date database of awards and marks
  • Attend assigned Festival venues
  • Register Provincial nominees
  • Assist with preparation for the Gala Concerts and other events
  • Support Main Festival Administrator with additional tasks that may arise

Qualifications

  • Minimum 1 year of administrative experience
  • Demonstrate advanced knowledge of various instrumentation and repertoire.  Music degree or diploma an asset
  • Proficient with computer systems and data base programs such as FileMaker Pro and RegOnline
  • Detail oriented
  • Expert time management skills
  • Strong written and verbal communication skills
  • Confident working with a diverse range of social groups and communities
  • Must be able to lift 20 pounds and stand for an extended amount of time
  • Have own vehicle, cell phone and laptop computer
